2020 Rules and General Guidelines

Admission
  • Admission to Dance Champs Elite Competitions is predominately free, however, there may be certain venues that an admissions fee of $10 – $20, per Spectator may apply.

  • Doors will open exactly 30 minutes prior to the first performance time.

Appropriateness
  • Please remember that DCE competitions are family friendly events. 

  • All choreography, lyrics, themes and costuming should be age appropriate. If dance movements, music lyrics, or costuming are deemed to be too suggestive or otherwise inappropriate for our family audience, or if the music contains vulgar or inappropriate lyrics, the routine will be scored lower by the judges.

  • Any routine that the Judge feels is inappropriate will receive a minimum of a 10- POINT deduction or may be stopped and disqualified. 

Age Divisions
  • AGES ARE DETERMINED BASED ON THE DANCERS AGE AS OF JANUARY 1ST.

  • Each entry will be placed in one of the following age groups based on the average age of all competitors in the routine.

  • AVERAGE AGE: Duo/Trios, Groups and Lines will compete at the average age division determined by averaging the age of all members of the group. Do not use decimals or round up.  

    • Example: If the average comes to 11.8, they will compete in the 11-year old age division.

  • The average age of each entry must not drop more than one age division below the age of the oldest dancer in the entry, regardless of the actual average age. 

    • Example: an entry contains dancers ranging in age from 9-17, the entry may not compete younger than the 13-15 age category (one division younger than the oldest dancer – 17).

  • DIVISIONS: 6 & Under; 7 – 9 Yrs; 10 – 12 yrs; 13 – 15yrs; 16 – 19 yrs; 20 & Up

  • Teachers / Directors may be required to present proof of age in the form of a birth certificate if a protest regarding age. Failure to provide a Birth Certificate if a performers age is challenged will result in disqualification for the routine in question. Such protest must be presented in writing to the director of Dance Champs Elite within one-half hour of the performance of the entry in question.

  • ADULT CATEGORY: Any routine with a performer 20 years or older will compete in the Adult Category. All adult performers MUST compete in the Supremacy (Advanced) performance level and are not eligible for High Score Awards. If enough routines are entered in the Adult Category, a special High Score Award may be awarded at that regional. Adult division may include Teachers, Professionals, Parents, etc.

  • The youngest performer in any routine must remain on stage for at least 25% of the routine. If this rule is broken, the routine will be averaged without that performer and moved to the appropriate category.

  • No Duo/Trio, Group or Line may compete against themselves in the same performance category with the same performers.There must be a 50% difference in performers to be in the same age group of the same category.

Arrival | Check-In Process

IMPORTANT! Only one Studio Owner / Teacher / Director / Choreographer needs to check in, performers should NOT check in, but should be prepared to meet Teachers at a prearranged location. Our Registration Desk, is generally situated as soon as you enter the venue. You will be given your Studio Owner Royalty Bag and directed to the Dressing Rooms. Your Backstage & House Managers will come in throughout the day to introduce themselves. If you did not email your music you MUST hand it in to our Sound Engineer as soon as you arrive. It is your responsibility to ensure your routines are ready to perform, and all dancers are at the Stage entrance area at least 20 minutes prior to your performance time. Every performer should know their entry number and song, we highly encourage that you assign one Performance Ambassador for all of your Duo, Trios, Groups, Lines & Productions so that when the Backstage Manager asks they are well informed and we can keep to a timely schedule. If you do not check in with the Backstage Manager we will take this as you are not competing and the number will be disqualified.

Awards ~ Adjudication
  • Each entry in the Supremacy, Majesty & Royalty Divisions is adjudicated by a panel of three Judges, each Judge score performers according to a 100-point scale, with a total score out of 300 possible points. Points are awarded based on the following criteria. The three scores will be added together to produce the total adjudication and overall score.  These scores will be used for adjudicated awards as well as overall awards. Each entry will be scored using three judges.

• Technique (max of 40 points) 

• Choreography (max of 20 points) 

• Execution & Musicality (max of 20 points) 

• Stage Presence (max of 10 points)

• Costume (max of 10 points)

 

  • General awards are based on composite scores and not on placement within an age group in each category. This may result in multiple Crown Jewel, Diamond, Platinum, Gold and Silver awards presented in each age group for each category. Each act will receive one trophy per performance and individual award pins for the dancers in the act

  • Although acts are competing against an adjudicated point system for general awards, all contestants will compete against each other for the Overall High Score awards within their level and age division.

  • If there is only one act competing in a particular division, that act will be judged against a point system. The point break for all given awards is determined by the scoring range of that particular competition.

  • Any act that performs outside of its original scheduled performance time, will receive General award placements at its assigned awards ceremony.

  • All scores will be uploaded to the Studio Owners Dance Comp Genie online account within 48-hours from the completion of each Competition.  

SCORING GRID

Awards ~ High Score

In addition to adjudicated awards, the top scoring routines will be recognized. The number of top scores announced will be determined by the number of entries in each division and level (see below chart). The top scoring entry in each competitive division will be awarded a Dynasty Dollars as shown below:

  • Our Awards Manager will direct the Awards Ceremony in a seamless and organized manner to ensure it runs smoothly. In order to keep our Awards Ceremony running in a timely manner we ask that you assign an Award Ambassador or the Performance Ambassador to collect all awards on stage.  

  • Top scoring routines will be acknowledged within each age/size division at each competition, Dance Champs Elite will recognize up to the Top 10 highest scoring routines for Majesty & Supremacy Levels and up to the Top 3 in the Royalty Level.

  • A studio may not compete against itself in the same category with identical performers.

  • SOLOS – A Solo performer may not compete against themself in any given category. If same soloist has more than one solo, only the highest scoring solo will be eligible for high score. A soloist can only place in the overalls once. 

  • In a Duo | Trio, at least one dancer must be different when competing in the same category.

  • At the National Finals, Dancers can be replaced, if necessary, as long as 50% or more of the original dancers are in the routine. Teachers are required to notify Dance Champs Elite of these replacements.

  • Judges break all ties.

  • Dance Champs Elite reserves the right to combine Age Divisions if there are less than 2 Routines per Divisions  for overall High Score if necessary, as follows.

    • Duke | Duchess (Mini) and Count | Countess (Petite)

    • Prince | Princess (Junior) and King | Queen (Teen)

  • All routines scoring a Platinum ranking or higher at a Regional Event are automatically invited to compete at our Royal Kingdom Nationals.

Backstage

Performers MUST be checked in with Dance Champs Elite’s Backstage Manager, at least 1-hour prior to their scheduled performance time. Failure to do so may result in your routine being disqualified.

**NOTE** If you determine that you do not have enough time between numbers to change costumes, it is imperative that you advise the backstage manager immediately. If the backstage manager has not been notified of any problem, and you are not ready to compete when called, points will be deducted.

Teachers, Performers and Stage Dad’s (for Prop Load-In ONLY) are only allowed backstage.

Our fun and engaging Emcee, Social Media Princess or Stage Managers are ALWAYS backstage keeping things fun and exciting throughout the day!  Make sure to get your selfies with him to get on our Social Media and our Website!!!

Be Prepared
  • All contestants should be ready to perform 60-minutes prior to their scheduled time.  If the competition is running ahead of schedule, contestants are expected to be ready earlier. 

  • Please take this into consideration for Awards Presentation as well, especially for those leaving the venue and returning for Awards.

Cancellation | Refund Policy
  • Any cancellations of entries will result in a loss of all deposits and entry fees for that event.  No entries will be processed without full payment.

  • There will be NO refunds on entries.

  • There will be NO refunds on entries after the minimum numbers of entries have been received and the competition has been confirmed.

  • NO cash refunds will be issued under any circumstances. Account credits will ONLY be given for injured/sick competitors with a legitimate doctor’s note.

  • NO credits will be issued during or after the completion of the event.

  • NO credits will be issued during or after the completion of the event. “Day-Of” scratches due to injured dancers will not be issued credits. All credits will be issued to the account of which the dancer was registered.

  • Credits may ONLY be used toward the entry fees/media fees/nationals fees of a Dance Champs Elite event; they are not valid at the merchandise booth!

No Refunds will be made for entries.

  • Credits for future competitions will be issued for medically excused contestants ONLY.

  • Dance Champs Elite reserves the right to cancel any and all events due to lack of registration, inclement weather or other unforeseen circumstances. Furthermore, Dance Champs Elite reserves the right to change an event’s location, venue and/or date(s). Upon changing a location, venue and/or date(s), a representative from Dance Champs Elite will contact your studio. Dance Champs Elite will not be held liable for any costs endured for any type of travel arrangements made upon cancelling an event or an event selling out, including but not limited to: hotel fees, transportation costs or bank fees. We HIGHLY recommend registering for an event prior to making ANY travel arrangements.

Dressing Rooms
  • All registering Studio Owners/Teachers will be introduced to our Back of House Managers, who will be your direct point person if you have any issues, concerns or questions. They will be able to assist you with all of your needs.

  • We will have designated Dressing rooms for our Princess and Prince. 

  • There will be signage on the tables or walls in the dressing rooms indicating your studio, please be respectful of your area and do not overstep into another studio’s space.  

  • Studio Owners will receive wristbands for all Ladies that need to have Dressing Room access…All MUST wear in order to be in Dressing Room!

  • No boys, dads, siblings, friends will be permitted in the girls dressing room and no girls, moms, siblings or friends will be permitted in the boys dressing area.

    • If you have a small boy (under 6) that needs mom’s attention, they will be permitted in the girls dressing area.

  • Whenever the venue permits, we will have a “Quick Change” Dressing Room for any routines that need to utilize, please address with Event Manager prior to event or with Back of House Manager at event and we will reserve a time.

  • Only participating dancers, One (1) chaperone and teachers are allowed in Dressing Rooms.

  • Do not spray near others or any chemicals that maybe sensitive to allergy prone people.

  • Bring costumes to your vehicle as soon as Act is over and keep your dressing area clean.

  • Bring into the dressing room only what you need for the first couple acts. 

  • Dance Champs Elite nor Venue is responsible for any lost, damaged, stolen or forgotten items in the Dressing Rooms or at the event.

  • NO food or beverages will be permitted in the dressing areas.

  • Any competitors that fail to keep the dressing rooms clean and free of debris are subject to immediate disqualification.

  • Same gender teachers and parents only allowed in Dressing rooms.

Dynasty Dollars and Studio Credits

Dance Champs Elite Dynasty Dollars Guidelines:

  • Any Dynasty Dollars can be used towards your Registration Total, up to a Maximum of 30%.  There will NOT be any refunds or Credit to any unused  portions of your Dynasty Dollars. 

    • Example:  a) If you have $500 Dynasty Dollars and your Registration Total is $700, then a Max of $210 can be applied to your total, leaving a remaining balance of $490 payable via Cash.  The Dynasty Dollars remaining balance of $290 shall be forfeited.  b) If you have $500 Dynasty Dollars and your Registration Total is $2,000 then 100% of your Dynasty Dollars will be applied to your Total, leaving a remaining balance of $1,500.

  • Dynasty Dollars cannot be used as a Deposit for any event.  

  • Dynasty Dollars are NOT valid for Conventions.

  • Dynasty Dollar Certificates must be mailed directly to our office and noted online when registering.  

  • Original certificates ONLY, no photocopies will be accepted.  

  • All applicable Discounts must be deducted prior to payment

  • No refunds or rebates will be issued.

  • Studio Credits can be used towards Deposits or 100% of Registration Total.

  • Dynasty Dollars & Studio Credits MUST be used by the Studio they were issued too.

Entry Fees | Deadlines | Late Entry

Credits or Dynasty Dollars are NOT eligible for Regional Deposits!

LOYAL ROYAL DISCOUNTS please check your Studio Online Accounts for all non-advertised discounts!  Loyal Royal Discounts are available if Advertised Non-Refundable Deposit is received on/or before the Deadline Date!!!  Any entries received after deadline will be charged at the regular price.

ENTRY FEES are available to studios only, through our online registration system. All information is conveniently listed there once you are signed in.

ENTRY DEADLINE, space fills up quickly; confirm your participation as soon as possible, but no later than 30-days prior to the event. We cannot guarantee availability.

LATE ENTRIES will be accepted up to 15-days prior to the competition on a space available basis. Late entries will be charged a late fee of $10, per routine.  Payment for all entries mailed after the deadline date must be submitted with a Cashier’s Check or Money Order. Cashier’s Check/Money Order must be sent Overnight Express Mail, *PayPal payments are accepted.

*Paypal payments are subject to a 4% service fee.

Food Policy
  • Wherever possible, Dance Champs Elite will always provide some sort of food for purchase for your convenience, where food vendors or purchases are prohibited, we will provide you with a list of local area eateries.

  • NO Outside food or beverages is permitted, unless otherwise announced.

    • If you choose to bring a cooler, it must remain in the car.

  • NO food or drink is allowed in Performing Arts Centers; theaters; Auditoriums, Locker Rooms or Dressing Rooms. 

  • Most Venues will offer concession beverages, lunch and/or snacks. 

  • All food must be consumed in lobby, café or signed areas.  

  • Unlike a movie theatre, you may face fines from school/venues and /or disqualification from competition for bringing food into theatre, competition room or dressing space.

Friday Night Competition
  • If there are too many entries to compete all the routines on Saturday and Sunday or if there are too many entries to compete all routines on Saturday Only and not enough to warrant hosting an event on Sunday, Dance Champs Elite will start the the competition on Friday after 6:00pm.  Anyone registering must be available to perform on Fridays after 6:00pm. If a Friday start is necessary, it is hard to determine whether it will be the Solo, Duo Trio or Group Divisions that will compete on Friday evening.  We will do our best to notify the studios at least two weeks prior. No Friday competition will ever start prior to 6:00pm.

Injury | Safety

INJURY

  • Any performer competing in a dance competition takes certain inherent risks.  

    • This includes, but is not limited to sprains, bruises, pulled muscles, and broken bones.

  • Participation in this competition indicates the acceptance of such risks by performers. Therefore by virtue of entering this event, it is agreed that participants will not hold Dance Champs Elite/Cheer Champs Elite, Inc., its officers, directors, officials, staff or employees responsible for injuries sustained or illnesses contracted by them while in attendance and/or participating in any activity related to an Dance Champs Elite Event.

  • Dance Champs Elite/Cheer Champs Elite, Inc., and the hosting facility are not responsible for personal injury or property loss to contestants, spectators or officials.

  • We ask that when not performing on stage, that all competitors and attendees alike wear proper footwear at all times at all Dance Champs Elite events to ensure their safety.

  • Dancers may NOT exit or jump off the front of the stage at any time during an event.

  • All persons attending this event, whether Contestants, Spectators or Officials, shall be bound by the rules outlined herein, and by participating in this event, automatically become obliged to adhere to them.

  • INJURY PRIOR TO EVENT: If you are injured or feeling sick please stay home. With a doctor’s note, we will issue a credit to the dance studio.

  • EVENT DAY INJURY: If you are injured or feeling ill at a competition, we will have an EMT on site with first aid & ice packs, however, it is the responsibility of the Studio Owner and/or Parent to determine if the participant can perform or if additional medical treatment is necessary.

SAFETY

Dance Champs Elite and the hosting facility are not responsible for any kind of damage, loss or injury sustained by contestants or spectators or their property while attending any area of the venue premises. Dancers competing take certain inherent risks when involved in any physical activity. Participation in this competition indicates the acceptance of such risks by the performers. Therefore, upon registration to any DCE event, it is agreed that participants will not hold Dance Champs Elite, its directors or employees responsible for injuries that occur or illnesses that may be contracted during the competition event. Studio Owner/Directors agree to adhere to the Release of Liability Clause which is completed during the registration process.

Due to DCE being a public event, DCE encourages all attendees to:

  • Supervise children at all times!

  • Be responsible for personal belongings!

  • Be aware of surroundings and inform a DCE employee of unsuitable or suspicious activity!

  • All Ladies MUST have wristband to gain access to Princess Dressing Rooms!

  • Stay safe and have fun while attending DCE events!

Judges | Critiques | Scoring

Judging

At Dance Champs Elite we take judging extremely seriously, and every performance will be Judged and Critiqued in a professional manner by a panel of highly qualified, well-versed and experience NYC Judges.  Our Judges are the best of the best and are all working career Industry Veterans and ALWAYS provide you with extensive beneficial feedback to help your dancer be the BEST they can be!

  • All Contestants, Teachers and Parents agree that the method of judging shall be solely within the discretion of the Directors of Dance Champs Elite and that all decisions of the Judges are final.  

  • All of our Elite Judges will provide you with a fair, accurate and detailed review of each routine throughout the event.   

  • All Video Critiques will be uploaded to your online account within 48-Hours of the Event End!

  • Contestants will be adjudicated against a point system. In this way, the contestants receive a more accurate evaluation of their performance. 

  • With this scoring system, multiple Crown Jewels, Diamonds, Platinum, Gold and Silver adjudication awards may be presented within each age division for each category of competition.

  • All scores will be uploaded to the Studio Directors Online Account at the end of the competition and a web link containing audio/video judge critiques will be emailed to each studio.

  • ALL Judges decisions are FINAL!

  • All Competitors, Teachers, Studio Owners and Spectators shall accept the Ruling and Decisions of the Judges and NO Appeal against them may be made.

  • NO ONE may question a Judge or DCE Staff pertaining to the Markings of the Judges or Results of the Competition.

  • It is the responsibility of each Studio to ensure their Studio is aware of DCE Rules and Guidelines. 

 

Scoring Criteria / Breakdown                                                                                                                                                               

Judges adjudicate each routine, with a maximum of 100 points, per Judge.  Each Judge considers the following criteria:

  1. Technique (max of 40 points)

  2. Choreography (max of 20 points)

  3. Execution & Musicality (max of 20 points)

  4. Stage Presence (max of 10 points)

  5. Costume (max of 10 points)

In the event of a tie on a Category High Award and during Overall Awards. Technique is first, then Choreography and finally the Stage Presence. If two or more routines are still tied once these three areas are compared, a tie will be awarded.

At any Regional competition, if any act drops below the minimum number of performers required in the group they registered for, the act will be awarded based on points, however, the act will not be eligible for High Score Awards.

  • EXAMPLE: A group of 10 performers registered as a Large Group… if 1 performer is unable to perform, this will then drop the number in the group to 9. They can still be judged as a Large Group, so that all 10 can attend the Nationals, but they will not be eligible for the High Score Awards. If this routine changes to a Small Group, then they will be eligible for High Scores and will qualify for Nationals as a Small Group.

 

Deductions                                               

Appropriateness:  ROUTINES MUST BE APPROPRIATE FOR FAMILY VIEWING. Dance Champs Elite Royal Competitions are always Family-Friendly events! Any routine that a judge feels is not appropriate is subject to a point deduction, may be stopped or even disqualified. This includes Costuming (must be age appropriate), Choreography and Lyrics which are suggestive or violent or contain mature language are not acceptable.  Failure to comply may lead to deductions or even disqualification.

Time:  Routines must register for extended time if needed.  After the 10-Second grace period, routines that exceed the time limit may be subject to a .5 point deduction for every 10 seconds the routine runs beyond the allotted time limit. This rule also applies to routines that apply for extended time, but then exceed the extended time limit.  This does not include allotted time for prop set-up & removal.

Props: Props must be moved on and off dance floor in a timely manner. If a judge feels that the removal of a prop takes too long points may be deducted. No dangerous props allowed. Dangerous props include but are not limited to knives, swords, anything thrown directly at the judges table that may be harmful, anything that could alter the surface of the dance floor, any prop that is plugged in. Any routine that uses a dangerous prop will receive a max of a 10-POINT deduction or may be disqualified.

Number of Dancers: Points will be deducted if a routine contains more dancers than the registered.

Skill Level Ability Placement: We have created this guide (found here) as a tool to  assist in ensuring your dancers are entered into the correct level.  If a dancer has a few of the skills that are in the level above, that is permissible, however, if a dancer has the majority or all of the skills in a higher level and registers in a level below points will be deducted and the routine may be placed in the appropriate level.   This Guide has been put in place to do our part to guarantee every dancer is competing fairly, being judged accurately and on an equal level amongst their competition.

Media Promotion

All attendees and performers of Dance Champs Elite authorize the use of their images in photos and video for any and all Dance Champs Elite, advertising, social media accounts and promotion purposes without royalty, fee or other compensation.

Music

MANDATORY MUSIC UPLOAD

Dance Champs Elite uses an electronic music file upload system for all performances. Studios have access to their own Music Manager upload page within their Dance Comp Genie Online Account. It is mandatory for all Studios to submit their competition music electronically using the Music Manager.

  • Music files can only be uploaded after entries have been registered.

  • The Music Manager will assign the file names automatically once upload is complete. However, please label the file with the name of each act.

  • Please be sure to upload the exact version of your performance music, because pitch/speed of music cannot be adjusted at the event.

  • Dance Champs Elite supports MP3, M4A, and MP4 files. The maximum file size is 20MB.

  • Uploaded music files must be DRM free.

  • Music Manager will be closed 3-5 days prior to the start of competition. We will not accept new versions of music files at the competition. We will only use backup media formats (iPod, USB) if there are technical difficulties.

  • Dance Champs requires that all studios bring a backup iPod or USB for all performances in the event of a malfunction of the original music submitted. Music can be picked up at the registration table at the conclusion of each presentation of awards.

Parent Info
  • We can not accept calls from parents/dancers. All questions must go to your Studio Owner, Director/Coach who in turn will contact the competition.

  • An email with Final Studio Schedule will be sent 1 week prior to show to only the Studio email address that registered through the software Dance Comp Genie.
  • Dance Champs Elite must have  a completed and signed waiver in hand prior to the start of the competition in order for any Dancer to compete.  Please download the following link and give to your Studio Director, Bring to Event or Email us at info@dancechamps.net

Payment | Due Dates

PAYMENTS | DEPOSITS: Upon entering your online registration, full payment for your entries is preferred, however, we will accept the following non-refundable deposit structure to reserve your spot at the event, with the remaining balance being 30-Days prior to the event date. Deposits due within 10 days of Registration Date:

Minimum Deposits:

  • Up to 10 Entries:   $100, Deposit*

  • 11 – 25 Entries:      $250, Deposit*

  • 26 – 50 Entries:      $500, Deposit*

  • 51 – 100 Entries:    $1,000.00 Deposit*

  • 100+ Entries:         $1,500.00 Deposit*

*All Deposits are non-refundable!

 

PAYMENT TERMS:

  • Acceptable forms of payment include a single *Studio Check if received a minimum of 30-Days prior to the event date, Money Order or Bank Check are accepted up to the 15-Day deadline.  Individual and/or personal checks are not accepted. Digital payment is available via  **PayPal through your online account.

    *All returned checks are subject to a $40 service fee.

  • Payment of entries sent after the deadline date must be in the form of a *PayPal, Cashier’s Check or Money Order.

    *Paypal payments are subject to a 4% service fee. 

  • Registration will not be considered complete until deposit/payment is received.

  • Official Online entries must be completed in their entirety.

  • Space fills up quickly; confirm your participation as soon as possible, but no later than 15-Days prior to the event. We cannot guarantee availability.

  • Once a competition is announced as SOLD OUT, a 50% non-refundable deposit is required from the registered studios in order to guarantee a performance time for their entries. Any cancellations of entries will result in a loss of all deposits and entry fees for that event.

  • All registrations must be paid in full prior to start of show.  No on-site payments will be accepted.

Performance Ambassador

In order to keep our competition running on time, we ask that a Performance Ambassador is assigned for every Duo, Trio, Group, Line and Production, they will be responsible to know their entry number, song title prepared and to acknowledge our Backstage Manager and assistants when their number is called, they will also collect their awards on stage, however, if you wish to assign that role to another participant, that is fine with us.  Having a Performance and/or Awards Ambassador will ensure everything runs smoothly and efficiently.

Performance Areas
  • All Stage areas are approximately 30’ x 40′ and will have Marley Flooring.

  • Our Stage Managers will ALWAY keep the Dance Floor clean and free of debris.

Performance Categories

Performance Categories, other than an Acro Category, cannot contain more than 3 Acrobatic/Gymnastics tricks.  An Acro/Gymnastic trick is defined as movements that pass through the (upside down) position with both feet off the floor. (i.e. Cartwheel, Backhand Spring, Aerial, etc.) If a performance contains more than 3 tricks and is not considered Acro, it must be entered into the Open Division. Routines entered into any category other than Acro or Open and exceeding this limit will be subject to a 3-Point deduction.

Lifts are permissible in all categories.

Dance Champs Elite has THREE competitive divisions, Royalty (Recreational), Majesty (Intermediate Competitive) & Supremacy (Advanced Competitive)

 

Performance Levels Rules

  • If a Dancer’s skill level is truly Advanced, they need to be entered at the Advanced Level regardless of the number of hours taken per week. 

  • Lifts are permissible in all categories.

  • Routines that are obviously under-placed may be elevated by the Judges or Dance Champs Elite Management. All decisions are Final!

  • Soloists, whether “Supremacy”, “Majesty” or “Royalty” must perform all their solos at the same level.

  • ROUTINE PLACEMENT

    • Solos: All Soloists MUST compete in the specific level they fall under for all routines entered.

    • Duo | Trio:  The Highest Level Dancer will determine the level placement.

    • Groups:  The majority of the group determines the level of the routine. 

    • Judges can adjust the level of a routine at their discretion.

    • All Adult groups are automatically Supremacy.

  • Any routine that includes a performer who is 20 & over, this also includes any studio director, full time instructor, student instructor, choreographer and/or working performer who is 20 & Over. (Adults in any routine, including Lines & Productions), all compete for the Adult Award.

  • Please be certain that you are entering your performers in the proper performance level when inputting your registration data. This CANNOT be changed after the schedule is FINAL!

  • Please note in all dance categories, except Acro-Dance and Open, a limit of 3 overhead passes will be allowed.If entering the Acro Dance Category, Dancers must also follow the Acro Ability Level Requirements

  • If entering the Acro Division, Dancers MUST also follow the Acro | Gymnastics Guide listed below the Abilities Guide.

We have created the following guide as a tool to assist in ensuring your dancers are entered into the correct level.  If a dancer has a few of the skills that are in the level above, that is permissible, however, if a dancer has the majority or all of the skills in a higher level and registers in a level below, points will be deducted and the routine may be placed in the appropriate level.  This Guide has been put in place to do our part to guarantee every dancer is competing fairly, being judged accurately and on an equal level among their competition.

Performance Rules
  • Dancers must perform in their scheduled order unless special permission is given by the Competition Director for costume changes. Points may be deducted from acts that do not comply. Dancers who do not perform within 10 acts of their scheduled time may be ineligible for Overall High Point awards. The only exception to this rule is if the DCE Customer Care Specialists or the Competition Director has pre-approved the delay.

  • SCHEDULING DELAYS, ISSUES or CONFLICTS MUST BE REPORTED TO THE STAGE MANAGER IMMEDIATELY, DO NOT WAIT UNTIL THE LAST MINUTE!! We will always do our best to accommodate your requests based on the issue, but cannot guarantee to always be able to adjust the schedule. If you do not inform the Backstage Manager and are late or delayed your number may be disqualified.

  • Routines must be performed during the awards session in which they are scheduled.  If the routine cannot be performed at that time, it can be performed for Judges comments only.  The routine will not be eligible for overall awards.  It will be announced on stage at the end of the awards session performed and appropriate adjudication plaque given.  

  • Performers may not enter or exit the stage from anywhere other than the wings. Starting, dancing, and ending the performance in the audience is not permitted. Jumping off the front of the stage is not permitted.

  • Running in front of the judges’ table or approaching the panel of judges is also not allowed.

  • No gifts can be presented to the judges in conjunction with a performance.

  • For safety purposes, props and performers should never come within 1 foot of the stage edge.

  • Special stage or house lighting will not be provided for any performance.

  • Rehearsing on stage prior to the start of a competition or after the completion of a competition day is strictly prohibited.

  • At no time are teachers, parents or dancers allowed to practice, rehearse or meet on stage.

  • Failure to abide by the aforementioned rules may result in point deductions.

  • INCOMPLETE ROUTINES: Dancers must perform their ENTIRE act on the stage. Contestants who exit the stage before the completion of their routine will have the option to perform again, however, the routine will be eligible for adjudication but not for a overall high score award.

Photo | Video
  • The use of ANY electronic devices for Photography & Videography is STRICTLY PROHIBITED during any performance. Failure to comply with this rule may result in a 1-point per judge deduction  or disqualification to the act being recorded and/or photographed as well as confiscation of the recordings and/or photographs.

  • It is the responsibility of the studio owner/ director to inform their students and parents of the NO Photo/Video rule. this may result in disqualification.  This is protect both the Performers and Choreographers.  

  • At most events, DCE will provide Video and Photography by a third party vendor.  All orders are subject to vendor’s specifications.  If DCE does not have Video/Photo Services at a specific event, this will be outlined in the Event Welcome Letter that you receive 2 weeks prior to the event and ONLY at that time will Photos ONLY (NEVER VIDEO) will be allowed to be taken of your dancers performance!

  • Exception: Photos maybe taken at awards ceremony. Flash photography not allowed.

However, we do reserve the right to use any photos taken during the event for Advertising and Promotional purposes.

Props | Set Up Time Limits

Prop Set-Up | Breakdown Time Limits:

  • Solos, Duets, Trios, Small Groups and Large Groups are expected to set-up props in 1:00 minute and remove props in 1:00 minute (2:00 minutes cumulative).

  • Lines are expected to set-up props in 1:30 minutes and remove props in 1:30 minutes (3:00 minutes cumulative).

  • Productions are expected to set-up props in 2:00 minutes and remove props in 2:00 minutes (4:00 minutes cumulative).

  • If prop set-up/removal exceeds these time limits, performances may be subject to point deductions.

  • Additional Time Available! Groups, Lines and Productions can purchase additional time if needed ~ $15, per 30 Seconds, up to 2 Minutes.

  • Solos, Duets and Trios are not permitted extended prop set-up/removal time.

  • Prop must be an integral part of the routine.

Prop Rules | Guidelines:

  • General props are permitted, however, these must be freestanding. Scenery or backdrops requiring the use of theater fly bars may not be used.

  • Fire, swords and knives on stage are prohibited. Simulated weapons with dull, safe edges are acceptable with approval of Dance Champs Elite.

  • No liquid, live animals, gel, aerosol, glitter, fog, smoke or similar substance that would affect the dancing surface is allowed, unless approved by Dance Champs Elite. If this occurs, the routine may be scored lower by the Judges.

  • Helium balloons are not permitted unless special permission is given by the venue and Dance Champs Elite.

  • All props must be Wood & Marley floor safe.

  • Please do not build props backstage this presents a danger to our performers.

  • Props, which exceed 9’ in height, cannot be guaranteed to fit on stage. Dance Champs Elite cannot guarantee a power supply.

  • Safety is always our major concern. If the stage is “littered” during a routine please beprepared to clean it up immediately after the routine is finished.

  • Every venue has different prop storage, this will be outlined in your Event Welcome Letter that you will receive the week prior to the event date.  Based on the venue’s specifications, All props are the sole responsibility of the Studio to get on/off stage in a timely manner and ALL Props MUST be removed from the venue IMMEDIATELY after the performance.

  • Please note the prop set-up / breakdown timing above!!!

  • Entries are accepted on a first come, first serve basis and are limited to available performance time.

  • We recommend you register AS SOON AS POSSIBLE in order to secure a spot.  

  • ALL online entries must be completed in its entirety.

  • Make certain all Dancers are entered into the correct level when registering.  Please review our Level Ability Requirement Guide to ensure you have them entered correctly to avoid any deductions.

  • The name of a routine may NOT be the same name as the dance studio,

  • All entries must be completed online and paid in full no later than 30-days before the competition date to receive any Regal Reward Discount!

  • Entries must be received by our office 15-days prior to event.

  • Entries received less than 30-days prior to the event will be considered late entries and are subject to a service fee of $10.00 per routine.

    • If space and time allows, entries will be accepted after the 15-day deadline, however there will be a $10.00 late fee applied to each routine.

  • All registrations must be paid in full prior to start of show. No on-site payments will be accepted.

  • If an event sells out prior to the deadline, 50% of studio entry fees must be received by the sell out date. If payment is not provided at this time, entries are not guaranteed and may be released.

  • All entries must be submitted by a school. Independent entries will be accepted only if a studio director’s signature appears on original paperwork submitted.

  • Finalized competition schedules will be sent to the studio director approximately 7-days prior to the event.

Routine Changes

Studio Owners! Please be certain that you have reviewed our Level Ability Requirements Guide and are entering your performers in the CORRECT PERFORMANCE LEVEL when inputting your registration data. This WILL NOT be able to be changed after schedule is FINALIZED. After payment is made, you will receive a summary via email of all routines registered.

  • It is imperative that you review this information including birth date and age division and reply IMMEDIATELY with any corrections.CHANGES WILL BE PERMITTED LESS THAN 10 DAYS PRIOR TO THE COMPETITION.

  • No changes can be made to the schedule after the FINAL SCHEDULE has been sent out, nor can any changes be made to the schedule during the weekend of competition.

  • There will be a fee of $5.00 per change for all changes made. This fee must be paid by *PayPal at the time the changes are made.

    • *Paypal payments are subject to a 4% service fee.

  • All changes to original submitted entries must be in writing: no verbal entries will be honored.

Remember, Dance champs elite is meant to be a learning experience and an opportunity for everyone to be recognized for their accomplishments.

  • Any person displaying unsportsmanlike conduct, rude or unacceptable behavior will be asked to leave the premises at once. No refunds will be issued and dancers are subject to disqualification. This includes dancers, dance studio staff and family or friends of dancers and applies to all Dance Champs Elite sponsored events.

Schedule | Conflicts

SCHEDULING: 

A tentative schedule with the performance time of each act will be available via the online “Studio Center” one week prior to the competition. Contestants in the first 10 scheduled acts should arrive ready to perform in full costume, hair and make-up. All other competing dancers must be ready to perform at least one hour prior to their scheduled performance time. 

**If the competition is running ahead of schedule, dancers are expected to perform in the order of the program and when called upon backstage.  DCE reserves the right to adjust the schedule in an effort to do so

Dance Champs Elite does not have a general format, which we follow at our Regional Competitions. Every regional schedule is set up based solely on the breakdown of entries by Solo, Duo | Trio, Groups, Lines and Productions for that particular city. We do not have this breakdown in numbers until all of the entries have been processed, and at that time we set up a schedule which will best accommodate the people at that regional. We would rather add a Friday, go later on a Saturday in order to avoid going later on a Sunday when participants have school or work on the next day.  This would not always be possible if we had a general format.

It is the responsibility of studio personnel to distribute the schedule to their participating dancers, as Dance Champs Elite does not publicly post the schedules of any of our competitions.

Any change in competition days and/or times is at the sole discretion of Dance Champs Elite and will be determined by the amount of time available at each regional competition. 

Dance Champs Elite reserves the right to extend or condense the number of competition days or move the competition location due to unforeseen circumstances.

 

PERFORMANCE TIMES

All Entries must compete on the day and time assigned, and we run in numerical order.

All entries that do not compete at their assigned day and time will automatically be adjudicated and ineligible for a high score award.

Any change in competition days and/or times is at the sole discretion of Dance Champs Elite and will be determined by the amount of time available at each Regional Competition. Sometimes due to unforeseen circumstances, a slight shift in the running order may occur.

Please alert Dance Champs Elite Backstage Manager immediately if there are any scheduling issues. Any scheduling requests must be included in the comment box in the online registration.

Please be realistic with requests and take into consideration that your request may conflict with others.

We highly recommend that studios be flexible as well and are able to perform during the scheduled event time.

 

CONFLICTS

When directors receive the schedule it is their responsibility to inform Dance Champs Elite VIA EMAIL of any necessary changes, fixes or TBA titles by the deadline given. No changes will be taken over the phone. Performance times and routine numbers may vary SLIGHTLY once you receive the final schedule via email by the end of the business day on the Monday before competition weekend. If your studio has not paid in full, your entries will not be included in the schedule.

If there are major scheduling conflicts (ie. proms, weddings), within your studio, the requests due to the conflicts should be included with your online registration. If you find out after registration has been submitted, we must be informed VIA EMAIL of your scheduling requests no less than TWO WEEKS ahead of competition to appropriately schedule the routines. Any requests that come in after two weeks in advance can not be guaranteed.

No changes can be made to the schedule after the final schedule has been sent out the Monday before competition nor can any changes be made to the schedule during the weekend of competition.

**NOTE** During competition, a minimum of 9 minutes is scheduled for costume and makeup changes between a given performer’s entries. In situations where it is impossible to provide this minimum, exceptions will be made and no points will be deducted.  We try very hard to ensure we take all entries into consideration when preparing our performance schedule, however, as soon as you receive the performance schedule it is the Studio Owner/Director/Teacher’s responsibility to review it carefully to ensure the schedule allows you enough time between numbers to change costumes, it is imperative that you advise us via email immediately if you feel there needs to be any adjustments to the schedule. If you wait until the day of the competition and you are not ready to compete when called, points will be deducted.

  • Routine that includes a performer who is 20 & over. This also includes any studio director, full time instructor, student instructor, choreographer and/or working performer who is 20 & Over. (Adults in any routine, including Lines & Productions, all compete for the Adult Award.)

Venue | City | Date Changes
  • Dance Champs Elite reserves the right to increase, decrease or change event days, dates or location of the event, if circumstances deem it necessary.  Unfortunately, there will be NO Refunds if a Studio/Dancer cannot attend due to the new changes.

  • Dance Champs Elite reserves the right to cancel any and all events due to lack of registration, inclement weather or other unforeseen circumstances. Furthermore, Dance Champs Elite reserves the right to change an event’s location, venue and/or date(s). Upon changing a location, venue and/or date(s), a representative from Dance Champs Elite will contact your studio. Dance Champs Elite will not be held liable for any costs endured for any type of travel arrangements made upon cancelling an event or an event selling out, including but not limited to: hotel fees, transportation costs or bank fees. We HIGHLY recommend registering for an event prior to making ANY travel arrangements.

  • Smoking is prohibited in/around the competition area. We ask that all smokers stand at least 50 yards from the competition venue to preserve the well-being of our dancers, audience members and our staff members. UNLESS the Venue is a NO-SMOKING CAMPUS, this will be noted in your Studio Packet and Signage will be posted.

Time Limits | Number of Dancers
  • Routines exceeding their time limits without previous approval may be subject to a point deduction for every 10 seconds the routine runs beyond the allotted time limit as stated above. Studio Directors: Please contact us for information on extended time options.

  • One point will be deducted for every 5 Seconds over time limit. Timing will begin when music starts (if no music, once dancers take first step) and will stop when last performer is off the stage. This does not include prop removal.

  • Additional Time Available! Groups, Lines and Productions can purchase additional time if needed ~ $15, per 30 Seconds, up to 2 Minutes.

  • The following list contains each division’s time limit, please note that the following times include Entry / Exit Times:

Waiver | Release Form
  • Participating in the sport of dance competitions can be rigorous and can result in injury.

  • Upon entering the competition, parents / students / chaperones / studio personnel hold harmless Dance Champs Elite for injury, damage or loss.

  • It is understand that dancers competing in a dance competition take certain incumbent risks. These include, but are not limited to sprains, pulled muscles, broken bones. Injuries can be minimal, serious and catastrophic.

  • EVERY PERFORMER MUST HAVE A SIGNED WAIVER IN ORDER TO PARTICIPATE!

    • We hold ALL Waivers for the year, if you attend National’s with the same performers, you will NOT need a new Waiver.
